Terms & Conditions for Medicine Retreat 2027

Deposit: A non-refundable, non-transferable initial deposit of £400 is required to secure your reservation.
Confirmation: Upon submitting your intake form, your place is reserved for 48 hours. Your booking is officially confirmed only upon receipt of your £400 deposit.
Payment Options for Remaining Balance:
Option 1 (Pay in Full): The remaining balance (minus the £400 deposit) must be settled within 14 days of booking confirmation.
Option 2 (3-Part Installment Plan): Remaining payments are due as follows:
Installment 1: Due 30 days post-booking.
Installment 2: Due 90 days post-booking.
Installment 3 (Final Balance): Due April 22, 2027 (60 days prior to arrival).
Late Payments: Failure to make installment payments by the specified dates without prior agreement may result in the forfeiture of your booking and any monies paid to date.

Initial Deposit: The £400 deposit is strictly non-refundable under all circumstances.
Cancellations Made Before April 22, 2027: If you cancel prior to April 22, 2027, any payments made toward your balance beyond the £400 deposit will be refunded, minus a £50 administrative fee.
Cancellations Made After April 22, 2027: Due to fixed venue costs, catering commitments, and facilitator arrangements, no refunds or credits will be issued for cancellations made within 60 days of the retreat start date.
Transferring Your Place: If you are unable to attend, you may transfer your place to another person, subject to our approval of their completed intake form.

In the unlikely event that the retreat must be cancelled or rescheduled due to unforeseen circumstances or circumstances beyond our reasonable control (force majeure, venue unavailability, extreme weather, etc.):
You will be offered a 100% full refund of all payments made (including your deposit) OR the option to transfer your payment to a future retreat date.
We are not responsible for any indirect costs incurred by guests, including travel arrangements, flight tickets, train fares, or independent accommodation

4. Travel & Health Insurance
We strongly advise all attendees to purchase comprehensive travel and cancellation insurance at the time of booking. Your policy should cover emergency medical expenses, personal injury, trip cancellation, delay, and loss of personal luggage/possessions.

Voluntary Participation: All retreat activities—including classical yoga, nervous system regulation practices, and outdoor walking—are undertaken entirely at your own risk and discretion.
Disclosure of Health Conditions: You agree to fully declare any medical, physical, psychological, or dietary conditions on your intake form prior to arrival.

Guests are expected to treat Henge Estate, its historical groundings, and all personnel with care and respect.
Guests will be held financially responsible for any deliberate damage or severe negligence caused to the property, estate grounds, or facilities during their stay

We respect the private, intimate nature of our gathering. Photos and videos taken by the host during the retreat may be used for future promotional materials. If you prefer not to appear in media, simply let us know via email or on your intake form prior to arrival.
